Griffin, our AI shop assistant (website chat)
What it is. Griffin, our website chat (named after our shop dog), is an AI assistant that helps you choose shafts, grips and other products and check that they fit your clubs. It is not a person. When a question needs our team, Griffin passes it to our customer service team, as described below.
What we process when you chat.
- Your messages and the assistant's replies.
- The page you're on, the product and option you've selected, and the names of up to five pages you viewed earlier in the same visit, so Griffin knows which product you mean. This list stays in your browser and is sent only with a message you choose to send. It is cleared when you close the tab.
- Basic technical information needed to run the service, such as your IP address, which we use only to prevent abuse and never store with your chat.
If you're signed in to your Grips4Less account. Griffin can look up your orders (items, status and tracking) and your purchase history, so he can answer questions about your orders and show you a short welcome-back note (for example, that an order is on its way). He shows this only to you, while you're signed in. When something needs our team (for example, an order change or a late package), Griffin can send your request straight to our team with your name, your account email and the chat, so you don't have to fill anything in. Our team then contacts you by email. If you choose Save to my account, your saved setup is linked to your account so it follows you to any device where you sign in.
To answer you, your messages are sent to our AI provider, Anthropic, which processes them on our behalf. When Griffin looks up product details on the web, that search also runs through Anthropic. We keep chat records for up to 90 days to review quality and fix problems, and we mask email addresses, phone numbers and card-like numbers before storing them.
Sending your question to our team from the chat (when you're not signed in). When Griffin hands a question to our team, you can review the message he wrote and send it from the chat by adding your first and last name, your email address and, if you choose, your phone number, and ticking the box to agree. Nothing is sent until you press Send. We then create a support request in our customer service system (Gorgias) with your details, your message and the chat that led to it, so our team can help you. Our team replies to you by email, and the reply also appears in your chat with Griffin. To show you that reply, your browser keeps the support request number and a private code for up to 60 days (never your name or email). You can also choose to open the message in your own email app instead.
Reporting a problem. If you use Report a problem in the chat, we receive your note, the page you were on and the last few messages of the chat, plus your email if you choose to add it, so we can look into it and follow up.
Saving your setup ("Remember my setup"). Nothing is remembered between visits unless you choose to save. If you click Remember my setup (or Save to my account when you're signed in), we keep:
- a short summary of your golf equipment and fitting details (for example your clubs, current shafts and grips, swing speed, typical miss and goals);
- the products we recommended;
- a short note of where you left off.
We store this so you can pick up where you left off and get better, more personal help next time. We don't use it to set prices or to make automated decisions about you. We never store payment details, addresses, phone numbers, order numbers, or health or allergy information in your saved profile.
A saved setup is kept in your browser and on our secure systems (Cloudflare) for 24 months after your last visit. Each visit restarts the 24 months. After that it is deleted automatically.
Emailing yourself a link ("Email me a link"). If you give us your email for this feature, we send you a summary and a secure link to continue your chat on any device.
- The link works once, for 30 days.
- We don't store your email address itself. We keep a coded version (a secure hash) so you can ask for a new link later.
- We use your email only to send this message and any new links you request, and we won't send you marketing unless you sign up for it separately.
- These emails are delivered by our email provider, Resend.
Your choices and rights.
- Saving is always optional. The chat works without it.
- Click Forget me in the chat at any time to delete your saved profile, the saved chat on that device, and any links, straight away.
- You can also email help@grips4less.com to ask what we have saved about you or to ask us to delete it. We will respond within the time required by law.
- Depending on where you live, including California and the European Economic Area, you may have additional rights, such as the right to access, correct or delete your personal information. We don't sell or share chat information for cross-context behavioral advertising.
Cookies and similar storage. While you chat, the conversation is kept in that browser tab's session storage so it stays with you as you move between pages. It is cleared when you close the tab. The chat stores a random code in your browser only after you choose to save, so we can recognize your saved setup when you return. This storage is used only for the feature you asked for, not for advertising or analytics. Saving a chat does not change your other cookie choices.
